EVENT COORDINATOR

We are hiring, we are looking for our next Event Coordinator to join our amazing team!

As an Event Coordinator in Directions you will have the opportunity to work across a number of types of events and clients with the opportunity to travel widely.

You will be responsible for but not limited to:

  • Management of registrations and customer queries, ranging from registration process through to accommodation, flights and over all program questions.
  • Team Work. Provide day to day support to the Event Managers/Directors and wider company team.
  • Travel & Logistics. Liaison with the Travel Department as per travel procedures to manage group bookings and flight changes. Regular cross-checks and reviews to manage room blocks, flight inventory, attrition and transfer requirements.
  • Client Relationship Development. Develop a strong understanding of key clients, their company and program goals and objectives. Support the team with client communication. Share all client communication with the team, highlighting requests, concerns, complaints, issues raised.
  • Planning. Participate in brainstorms, collaborating with appropriate personnel outlining the brief, working towards a strategy.
  • Administration & Research. Preparation of miscellaneous documents as requested by the team. Research relevant suppliers, venues, themes and other requirements for proposals and the overall program.
  • Budgets & Reports. Support the team with relevant reports, invoices, payments and budgets. Work within approved budget guidelines.
  • Project Management. Adhere to critical paths deadlines on behalf of the team. Ensure regular updates are distributed within the team and client as required.
  • Event Management. Support the team in preparation and finalisation of operations documents outlining all details of programs. Assisting the team members with research, quote requests, proposals and budgets.
  • Venue Management. Support the team with relevant reports for the management of; food and beverage, dietary requirements, rooming lists, seating allocation.
  • Branding, Theme, Content & Collateral. Ensure the overall look and feel of the event brand and messaging is across all communication and collateral. Source and coordinate gifts and collateral for client programs. Ensure sufficient time is allowed for printing and all proofs are signed off by the client and program lead.
  • Creative & Production. Bring the event brand and message to life through signage, props, décor, furniture, set design, AV, technology and an endless list of executions.
  • Site Inspection. Provide support in the preparation of documentation. Attend as required or provide support from the office.
  • On-site Support. Provide assistance and support to the team. Take responsibility for allocated tasks. Work necessary hours for successful delivery and completion of the program. Able to travel on domestic and international programs with the group as required.
  • Evaluation. Participate in the debrief process ensuring key learnings are applied not only to the next program but overall. Feedback all suggestions for improvement and market research to appropriate personnel.
  • Surveys & Reporting. Manage attendee survey and reports.

EVENT / ACCOUNT MANAGER

We are hiring, we are looking for our next Event Manager to join our amazing team!

As an Event Manager in Directions you will have the opportunity to work across a number of types of events and clients.

You will be responsible for but not limited to:

  • Event Management. Responsible for the overall operational management of programs, managing all elements in the lead up to, during and after the program. Prepare all operational documents; critical path, operations bible, run sheets, relevant event software reports.
  • Registration and Delegate Management. Provide support and guidance to the event coordinator on registration and delegate management. Ensure the correct process is followed including but not limited to; processing of registrations in a timely manner, delegate response times, communication with travel departments and management of an up-to-date database. Ensure regular and appropriate communications have been sent to the client and attendees; registration summary, confirmation letters, itineraries and is outlined in the critical path.
  • Supplier Relationships & Management. Develop and maintain strategic supplier relations. Apply tactical and strategic approach to negotiations as required. Seek guidance and support. Ensure suppliers have been supplied with appropriate briefing, documents and reports from the time of engagement through to delivery and post-event.
  • Client Relationship Development & ManagementA strong understanding of the client, their company and program goals and objectives. Lead day-to-day client communication as required and support the team otherwise. Share all client communication with your team, highlighting requests, concerns, complaints, issues raised. Understand the client and their program goals and objectives.
  • Budget & Financial Management. Ensure programs are delivered on budget. Ensure client cash flow and invoicing is up-to-date. Supplier payments are only made when there is sufficient client funds. Maintain correct foreign exchange rate. Strict management of client budget through requoting and negotiations supported by cost savings and value-adds. Regular updates to the client with written approvals. Ensure the account is running profitably for DCIM. Escalate issues to management.
  • Planning. Internally brainstorm, collaborating with appropriate personnel outlining the brief, working towards a strategy.
  • Best Practice. Ensure company policy and procedures are followed. Provides feedback for review and enhancements. Ensure internal and external SLA’s are met. Achieve agreed targets for delegate and client feedback results. Operate client programs according to client’s requirements and internal operational procedures.

  • Talent Management. Research and recommend talent options across programs; speakers, MC’s bands, musicians and other entertainment requirements.
  • Time Management. Successfully manages multiple tasks at any one time meeting conflicting deadlines. Ability to work under pressure and have a can-do attitude. Meets deadlines and prioritises. Communicates pressure points, challenges and conflicts. Seeks guidance and support.
  • Onsite Management. Successful management of the client, overall event, suppliers and staff. Conduct pre-cons, briefings, rehearsals and WIPs onsite. Ability to travel on programs as required. Work additional hours and weekends as required.
